JOB PURPOSE:
The purpose of this role is to support the implementation of the company’s people strategy by delivering high-quality administrative and operational HR services across the employee lifecycle. The role holder ensures accurate and compliant management of personnel documentation, maintains organized and legally sound employee records, and facilitates smooth HR processes from onboarding to offboarding. Through proactive coordination and attention to detail, this role contributes to a positive employee experience and the efficient functioning of the Human Resources department.
KEY RESPONSIBILITIES:
- Prepares employment contracts, addendums, and decisions affecting the Individual Employment Contract, and sends them to line managers for signature collection;
- Updates employee information in Workday;
- Requests necessary work equipment for new hires (laptop, phone, JML) via internal systems;
- Sends onboarding or return-to-work training data to the Health and Safety (SSM) and Fire Safety (PSI) responsible persons;
- Sends documents for job allocation to the County Employment Agency (AJOFM);
- Ensures that all documentation related to the hiring process is complete and compliant with internal procedures and current legislation;
- Maintains electronic records of personnel files and sends reports to line managers for updates or completion;
- Prepares the Admin Template file for Payroll updates related to new contracts;
- Schedules medical check-ups for new hires and periodic exams, and maintains communication with occupational health providers;
- Prepares documentation required for inspections and audits;
- Sends monthly reports required for invoicing occupational health services and other employee benefit providers (PO, if applicable).
- Prepares documentation and represents the company during inspections, together with department colleagues;
- Periodically sends reports requested by hierarchical superiors;
- Ensures GDPR requirements and principles are respected within the scope of responsibility;
- Provides HR-related informational support to employees regarding activities within their area of responsibility;
- Offers administrative support (drafting & processing) for any type of document specific to HR activities (contracts, addendums, decisions, certificates, notifications, etc.);
- Prepares and submits declarations and reports to authorities (e.g., REGES).
WHAT YOU NEED TO SUCCEED. SKILLS, EXPERIENCES & QUALIFICATIONS:
- Bachelor’s degree
- Minimum 2 years of experience in administrative HR
- Strong knowledge of labor legislation and regulations related to personnel records
- Excellent organizational skills, attention to detail, and document management abilities
- Advanced PC skills, especially in MS Office (Excel, Word, Outlook)
- Fluent in English (written and spoken)
- Clear and professional communication skills, both verbal and written
- Ability to work with confidential information and meet strict Deadlines
