This role will be responsible for contributing to the team effort that supports the Records management of the Company’s data (including within the US Law Department and Litigation function) by identifying sources of information electronically and in hard copy; organizing such categories of information; designing and implementing collection methods; resolving retrieval issues; maintaining historical records; maintaining confidential information; engaging in legal research and diligence necessary to support the Company’s litigation and claims matters; and supporting the global eDiscovery program.
Labeling new boxes and ensuring the smooth process of records storage for the Cresskill Records Center. Spot check boxes to match inventory and detailed data entry of new boxes. Work with person putting the boxes away to ensure boxes are put away in correct location
Physical handling and organization of storage boxes as part of research efforts with physical lifting up to 40 lbs
Assist the Senior Records Specialist with file room organization, legal hold matters, and other projects that may come up
Mastery of the Company’s data governance framework, retention policy, and cluster retention schedules
Scanning, reviewing and assessingmaterials forwarded to archives/storage and determine applicable retention schedule and related treatment
Work collaboratively with peers within the Records team including via varied communications, digital and online platforms, and training to ensure alignment and cohesion
Assist in legal research and diligence in connection with litigation and claims matters
Coordinate with third-party storage vendors (including Iron Mountain)
Assist departments/functions/teams throughout the Company with retrieving their materials in archives/storage
Manage process for ensuring documents are uploaded to US Legal DepartmentSharepoint sites
What You'll Need to Succeed
2+ years of relevant experience in a medium to large corporate organization in a knowledge management and/or records supportfunction
Bachelor’s degree preferred but not required
Robustorganizational and problem solving skills and close attention to detail
Experience working with highly matrixed organizations (e.g., internal and outsourced staff)
Proven ability to balance multiple assignments and meet strict deadlines with quality work
Proficient use of Microsoft Word, Excel, Microsoft Power Point, Sharepoint, Office 365, Access
